OFFICIAL RULES AND REGULATIONS FOR TRADE EXHIBITION

Management

The Exhibition of the 9th Inter State & 50th Karnataka State Dental Conference is conducted under the direction of the Indian Dental Association, Karnataka State Branch by the Organizing Committee of the Inter State & 50th Karnataka State Dental Conference and its agents or employees acting on its behalf.

Application for Exhibit Space

A Floor plan has been provided showing the exhibit space layout in exhibition area. The floor plan is subject to change and should not be considered contractual. The Organizing Committee reserves the right to refuse space to any exhibitor, or exhibit or any part there of, which in its sole judgment is not suitable. The Organizing Committee reserves the right to refuse the application of any exhibitor whose business operation conflicts any of the policies of the Indian Dental Association. The decision of the Organizing Committee shall be the final.

Payment/Refund Information

All fees are payable to "50th Karnataka State Dental Conference 2024" Bangalore by cheque or Demand Draft or Money Transfer. Booking of Stall will only be confirmed after full payment is received in advance Cancellation request prior to 01.11.2024 will be subject to a 25% administrative fee. Request for refund must be received in writing. No refund will be made after 01.11.2024.

Stall Assignment

Assignment of exhibit space can be made solely at the discretion of the Organizing Committee, with consideration given to requested stall space(s). Applications receive pronity assignment status based on when the full payment is received. The organizing Committee reserves the right to accept or reject any application for space. The organizing committee, reserves the right to relocate exhibitors if necessary due to circumstances beyond its control or if it is in the best judgement of the organizing committee.

Data on Exhibit Space

Individual stall are 3 mtrs x 3mtrs or island 6 mtrs x 6 mtrs in dimension. All display must be confined within stall space. All aisies must be kept free and clear and subject to control of the Organizing Committee. No Combustible materials will be permitted in the exhibition space. Equipment in operation must be provided and adequate protection against dripping of any liquia on the floor. All empty crates must be removed from the stall for proper storage and there will be no storing of canons, packing material etc. within the stall. The aisles are the property of the entire exhibition and each exhibitor has the responsibility to assure proper movement through the entire show. When large crowds gather for sampling or to watch a demonstration and interfere with the movement of delegates or create excessive crowd in neighboring stalls, it is an infringement on the right of other exhibitors. Aisles must not be obstructed by any time. Nos, tacks, tape, stickers and other materials must not be used on columns or floors.

Forfeit of Space

Exhibitors who
1) Resell or sublet exhibit space under any circumstances (Two or more firms cannot occupy the same booth space) without prior approval of the Organizing Committee.
2) Render their badges to unauthorized person.
3) Begin teanng down their booth before the show officially ends will forfeit their exhibit space.

Exhibitors Official Representative

Each exhibitor should submit, via the registration from, a list of names of the official representatives, Id cards will be issued to all the representatives, however only 2 representatives will be given lunch coupons for all 3 days. 1 Banquet Pass will be issued per stall. Exhibitor representatives are required to staff their exhibit booth at all times cuning official exhibition hours.

Exhibition Hours

1) 29th November 2024 - 10am-5pm
2) 30th November 2024 - 10am-5pm
3) 01st December 2024 - 10am-5pm

Security

Perimeter guards will be provided from set-up through tear-down, but the Organizing Committee is not responsible for any loss or damage to goods or property of exhibitors.

Selling in Aisles

All business activities of the exhibitor must be confined to the booth space rented. No business activities are to be conducted in any aisles, lobbies or other areas of the exhibit hall.

Solicitation by Non-Exhibitors

Firms and representative not assigned exhibit space are prohibited from soliciting business in any form in the exhibit hall. No extra exhibits others than regular paid technical or trade exhibits will be allowed. Violators will be required to leave the exhibit hall.

Sound/Music

Speaker and other sound devices should be positioned so as to direct sound into the booth and not towards the aisle. To prevent disturbance to other exhibitors, sound levels should not exceed 85 decibels.
